Staff meeting minutes template (doubles as the agenda)

Last updated

This staff meeting minutes template is built so the headings are the agenda. Send the empty template out the day before as the agenda, fill it in during the meeting, and send it back out as the minutes. Staff meetings cover the same ground every month, so a fixed order (announcements, department updates, policy changes, staffing and schedules, training, recognition, open floor) means nothing gets forgotten and people know when their item is coming.

Download the Word file, copy the plain-text version, or read the filled-in example from a dental practice to see how much detail is enough.

Word file (.docx), free and without signing up. Opens in Google Docs and Pages too.

What’s in the template

The minutes open with these details:

  • Organisation / location
  • Date
  • Time (start and finish)
  • Location (or video platform)
  • Led by
  • Minutes taken by
  • Present
  • Apologies
  • Circulated to

Then the body follows the meeting in this order:

  1. 1. Welcome and purpose — One line. Note any guests or new staff being introduced.
  2. 2. Actions from last meeting — Go through the previous action list. Record each as done, in progress or dropped. Do not re-discuss finished items.
  3. 3. Announcements — Items that need no discussion: dates, closures, visitors, changes to suppliers or systems. One line each.
  4. 4. Department or area updates — A short update from each area. Record the state of things and anything that affects other areas, not the whole report.Front desk / reception: · Clinical / operations: · Finance / admin: · Other:
  5. 5. Policy and procedure changes — What is changing, from when, and where the written policy lives. This is the section people look up later.Change: · Effective from: · Where documented:
  6. 6. Staffing and schedules — Rota changes, leave cover, holidays, vacancies, new starters and leavers. Keep personal details out.
  7. 7. Training and compliance — Upcoming training, who is due to renew what, and any audit or inspection dates.
  8. 8. Recognition — Thanks and wins by name. Short, specific and in the minutes so it is on the record.
  9. 9. Open floor — Questions and concerns raised by staff. Record the question and the answer, or that it was taken away with an owner.
  10. 10. Next meeting — Date, time and who leads it.

At the end: action items and policy changes announced, as tables you can keep across meetings.

Why the minutes and the agenda are the same document

A staff meeting is a routine meeting with a routine shape. The agenda rarely changes, so the fastest way to run one is to keep a single document: the headings are the agenda, the blanks under them become the minutes. Send it out before the meeting with any known items filled in, and anyone who wants to raise something adds a line under the right heading. After the meeting the same file, completed, is the record.

This also fixes the usual problem with staff meeting minutes, which is that nobody reads them. If the file that arrives is the one they already saw as the agenda, with the answers filled in and an action list at the end, it gets read.

What staff meeting minutes must record

  • Policy and procedure changes: exactly what changed, the date it takes effect and where the written version is. A staff member who missed the meeting should be able to find the rule later.
  • Schedule and rota changes that affect more than one person, so there is a dated record of who agreed to what.
  • Actions with an owner and a date. An action with no owner is an announcement.
  • Questions raised at open floor and the answer given, or that the question was taken away. Staff notice when their question disappears.
  • Who attended and who sent apologies, so you know who still needs to be told about a policy change.

What to leave out

  • Anything about an individual's performance, health, pay or leave reasons. Staff minutes are widely circulated; one-to-ones are the place for that.
  • Patient, client or customer details. Refer to a case by number or not at all.
  • The full content of each department report. Record the state and the implications for other people, then move on.
  • Debate. If a topic needs real discussion it needs its own meeting with the people involved, and the staff meeting minutes just record that it was scheduled.

Keeping it to an hour

Staff meetings drift because every heading invites a conversation. Two habits keep the meeting to its slot: announcements are read and not discussed, and open floor is time-boxed with a stated finish. Put the items that need a decision, such as a schedule change, early in the meeting while people are fresh, and recognition near the end so the meeting closes well.

Who gets the minutes

Everyone on the staff list, including part-timers and anyone on leave, within a day or two. If the organisation has more than one site or shift, the minutes are often the only way the second shift hears about a change. Keep the previous versions somewhere shared, dated, so a policy change can be traced back to the meeting that announced it.

Apologies: Dr Elin Sørensen (annual leave)

Circulated to: All staff, 9 October 2026

1. Welcome and purpose

Carla Mendes opened the meeting and welcomed Sophie Nkemelu, who joined the front desk on 28 September.

2. Actions from last meeting

New autoclave installed and validated (Kwame Mensah): done, 22 September.

Update the cancellation policy wording on the website (Beth Harlow): done.

Quote for replacing the waiting-room chairs (Carla Mendes): in progress, two quotes received, third due next week.

3. Announcements

The practice is closed on Friday 27 November for the equipment service.

The dental supplies account moves to Meridian Dental Supply from 1 November. Order forms are in the shared drive under Suppliers.

The fire alarm test is Tuesday 13 October at 10:00 am.

4. Department or area updates

Front desk: Beth Harlow reported that the online booking system now handles about 40% of new appointments. The no-show rate for September was 6%, down from 9% in August after the reminder text was changed to 48 hours.

Clinical: Dr Visser reported that the hygiene diary is fully booked four weeks out and asked front desk to offer the Tuesday evening slots first. Jordan Price raised that the new scaler tips are being used up faster than ordered; Kwame Mensah to adjust the monthly order.

Admin: Carla Mendes reported that the insurance claims backlog is cleared and the month-end close was completed on 5 October.

5. Policy and procedure changes

Change: late cancellation fee is applied to appointments cancelled with less than 24 hours' notice, not 48 hours as before. Effective from Monday 19 October 2026. Documented in the Practice Policies folder, Cancellation Policy v4.

Change: all staff lock their screen when leaving the desk, following the information-governance review. Effective immediately. Documented in the IT Use Policy, section 3.

6. Staffing and schedules

Dr Sørensen returns on 19 October. Dr Haddad covers her Tuesday list until then.

The December rota is open for leave requests until 30 October. Carla Mendes reminded staff that no more than two people from the same area can be off in the same week over the holidays.

The part-time dental nurse vacancy is advertised; interviews are planned for the week of 2 November.

7. Training and compliance

Basic life support refresher is booked for Wednesday 4 November, 1:00 pm to 4:00 pm, all clinical staff. The practice closes early that day.

Radiography certificates for Mei Lin and Rosa Delgado are due for renewal in January; Carla Mendes to book the course.

8. Recognition

Dr Visser thanked Rosa Delgado and Kwame Mensah for covering the extra emergency sessions during the September staff shortage, and Beth Harlow for the reminder-text change that cut no-shows.

9. Open floor

Mei Lin asked whether the staff-room fridge could be replaced. Carla Mendes agreed to get a quote with the waiting-room chairs.

Jordan Price asked whether evening hygiene sessions would be paid at the evening rate. Carla Mendes to confirm and reply to all clinical staff by email.

10. Next meeting

Thursday 12 November 2026, 12:30 pm, staff room.

Tips for staff meeting minutes

  • Send the empty template as the agenda the day before, with any announcements already typed in. Staff can add their open-floor items under the heading in advance.
  • Put every policy change in its own numbered line with an effective date. Vague phrasing like "from now on" causes arguments later.
  • Keep a separate running list of policy changes announced across the year; it is the quickest way to answer "when did that change?"
  • Record the answer to each open-floor question, even if the answer is "we will come back to you". Then put it on the action list.
  • Name people in recognition and nowhere else. Problems with individuals go to a one-to-one, not the staff minutes.
  • If part of the team was not present, such as a second shift, send the minutes to them the same day and name someone to brief them.

Or let the notes write themselves

A template helps when you’re the one typing. If you’d rather not be, an AI note taker can draft the summary and action items for you. Most send a bot into the call; QuietNote captures from your own computer instead, so nothing joins the meeting and you decide when capture starts. It’s in private beta. Whatever you use, read the draft before you send it, and tell attendees you’re recording where the rules require it.

Questions

What should be included in staff meeting minutes?

The date and who attended, any announcements, a short update from each area, every policy or procedure change with its effective date, schedule changes, training dates, and an action list with owners. Record questions raised at open floor and the answers given. Leave out anything about an individual's performance or personal circumstances.

How do I write a staff meeting agenda?

Use the same headings every time, in the same order: actions from last meeting, announcements, updates by area, policy changes, staffing and schedules, training, recognition, open floor. Fill in the known items and send it out the day before. The completed version becomes the minutes, so you only maintain one document.

How long should a staff meeting be?

Most monthly staff meetings run 45 minutes to an hour. Announcements are read, not discussed, and open floor has a fixed end time. Anything that needs real discussion gets its own meeting with the people involved. Weekly staff meetings in smaller teams are often 20 to 30 minutes.

Who should take minutes at a staff meeting?

Not the person leading it. Rotate the job or give it to one person who is comfortable with it, and let the manager run the meeting. The minute-taker only needs to capture decisions, policy changes, actions and the answers to questions, not the discussion.

Can staff meeting minutes be recorded with an AI note taker?

Yes, with care. An AI note taker can produce a draft of updates and actions that someone then trims into the template. Tell staff the meeting is being recorded, and check the draft for anything personal that should not be circulated to everyone, which is the main risk with widely shared staff minutes.
